Privacy policy.

1. About this policy
This policy explains how Migroo Pty Ltd (trading as VisaQA), ABN 17 686 506 918 ("VisaQA", "we", "us") collects, uses, stores and discloses personal information through this website.
We handle personal information in accordance with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
2. What this policy covers
This policy covers this website only: the pages you are reading, the enquiry forms on them, and email you send to the address published on this website.
VisaQA is developing a pre-lodgement quality assurance platform for Australian migration practices. That platform is not publicly available and is not part of this website. Separate terms and a separate privacy notice will govern the platform, including where its data is stored, and will be provided to practices before any access is granted. Statements on this website about how the platform handles data, including Australian data residency, describe the platform. They do not describe this website, which is covered by this policy.
3. Please do not send us client or matter information
This website is not a channel for client material and we do not want to receive it.
Do not send us, or enter into any form on this website, information about your clients or their matters. That includes client names, dates of birth, passport or document numbers, visa or application details, correspondence with the Department, or any document relating to a client file. There is no facility on this website to upload a file, and this is deliberate.
If you send us client or matter information despite this, we will delete it as soon as we reasonably can and will not use it for any purpose. Please tell us at nick@visaqa.com.au if you believe you have sent something in error, so that we can prioritise its removal.
If you are a legal practitioner or registered migration agent, your own confidentiality and privilege obligations to your client are not displaced by anything on this website.
4. What we collect
Information you give us through a form. When you use a form on this website, we collect what you enter. Depending on the form, that is:
- your name;
- your work email address;
- the name of your firm or practice; and
- where a form includes a message field, whatever you choose to write in it.
Information you send us by email. If you email us, we collect your email address, whatever your message contains, and our correspondence with you.
Information collected automatically. Our hosting provider records ordinary technical information when you visit, including your IP address, the pages requested, the date and time, and your browser type. This is generated by the hosting infrastructure rather than collected by us for a purpose of our own, and we do not use it to identify individual visitors.
This website does not use cookies, and we do not run analytics, advertising, tracking or session-recording tools on it. No third-party script runs on this website.
Sensitive information. We do not seek sensitive information, as that term is defined in the Privacy Act, through this website, and you should not provide it.
5. Why we collect it
We collect personal information through this website in order to:
- respond to your enquiry;
- assess and respond to a request for access to the private VisaQA preview;
- keep you informed about VisaQA's availability if you have asked us to; and
- maintain a record of our correspondence with you.
We will not use your information for a purpose unrelated to these unless you would reasonably expect it or you have agreed.
6. Who we disclose it to
HubSpot. The forms on this website submit to HubSpot, Inc., a United States company, and information you submit through them is stored in HubSpot's systems outside Australia, including in the United States.
By submitting a form on this website you consent to your information being disclosed to an overseas recipient on that basis. You should know what that consent means: Australian privacy law may not apply to information once it is held overseas, the Australian Privacy Principles will not follow it, and you may not be able to seek redress under the Privacy Act in respect of an overseas recipient. If you would rather not use a form, you can email us instead.
Email. Our email is hosted with a third-party provider, and email you send us may be processed and stored outside Australia.
Hosting. This website is hosted on Vercel, which operates a global network. Technical logs may be processed outside Australia.
Otherwise. We do not sell personal information and we do not disclose it to anyone else, except where we are required or authorised to do so by law, or where you have asked us to.
7. Direct marketing
If you ask to be notified about VisaQA's availability, we will send you occasional emails about it. Every such email will identify us and will contain a working unsubscribe link. If you unsubscribe we will stop sending them, and we will action your request within five business days.
We do not provide your details to anyone else for their marketing.
8. How we hold your information
This website is a static site. It has no database, no user accounts and no server-side code of its own, so nothing you submit is stored on it.
Information you submit through a form is held in HubSpot's systems under our account, protected by HubSpot's controls and by access controls on that account. Email correspondence is held in our mailbox. We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification and disclosure. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. How long we keep it
We keep enquiry and preview-request information for 24 months after our last contact with you, after which we delete it or de-identify it, unless we are required to keep it for longer by law.
Anything identified as client or matter information under section 3 is deleted as soon as we reasonably can, regardless of this period.
10. Accessing and correcting your information
You can ask us for a copy of the personal information we hold about you, and ask us to correct it if it is wrong. Write to nick@visaqa.com.au and we will respond within a reasonable period, ordinarily within 30 days.
We may need to verify your identity before acting on a request. If we refuse a request we will tell you why in writing, unless it would be unreasonable to do so.
11. Complaints
If you think we have mishandled your personal information, please tell us first at nick@visaqa.com.au and we will investigate and respond, ordinarily within 30 days.
If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at www.oaic.gov.au, by telephone on 1300 363 992, or by writing to GPO Box 5218, Sydney NSW 2001.
12. Data breaches
If a data breach occurs that is likely to result in serious harm, we will assess it promptly and, where the Notifiable Data Breaches scheme requires it, notify affected individuals and the Office of the Australian Information Commissioner.
13. Changes to this policy
We may update this policy. The current version is always the one on this page, and the "last updated" date at the top shows when it changed. If we make a change that materially affects how we handle information already collected from you, we will take reasonable steps to tell you.
